Case coordination may involve Kangqiao, a hospital, an interpreter and travel providers, but they do not all need the complete file. A hospital's initial review may need medical records. An interpreter needs information relevant to communication. A driver or hotel normally needs only a name, time, passenger numbers and necessary accessibility requirements.

Before sending sensitive information, understand the purpose, recipient, scope, storage and possible international transfer. Kangqiao obtains the necessary permission before sharing what a hospital review or agreed service requires. Consent for one task should not be treated as permission for unlimited forwarding.

A patient may ask what information is held, request correction, withdraw consent for processing that has not yet occurred, or request deletion and complaint handling where applicable. Some records may need to be retained for legal, financial, dispute or completed-service reasons; the responsible organisation should explain the reason and likely period.

Patients can also reduce risk: do not paste a full record or identity number into the first inquiry, send files to a public group chat, reuse a private access code or share a one-time banking code. Give links a reasonable expiry, report a wrong recipient immediately and keep a version and handover history.

Privacy should not prevent a hospital from receiving information genuinely needed for safe assessment. The principle is necessity, clarity and traceability. Kangqiao is responsible for its coordination and access controls, while hospitals and other providers are responsible for information they receive. Emergency processing may follow separate rules under applicable law.
