Once the appointment is confirmed, place the hospital, campus, department, date, registration time, contact and required records in one itinerary. Large Chinese hospitals may have several campuses, so the hospital name alone is not enough for choosing accommodation or planning arrival transport.

Allow time after a long flight for immigration, baggage, transport and rest rather than assuming you can attend an appointment immediately. Ask your own clinician and airline about fitness to fly, wheelchairs, medicines, oxygen or other support. A coordinator cannot decide whether you are fit to fly.

Choose accommodation by hospital distance, accessibility, companion numbers, cancellation terms and likely stay, not price alone. If admission is possible, consider where a companion will stay. If you may not be ready to fly soon after care, keep the return flexible and understand what travel insurance does and does not cover.

Local reception and transport become operational only after the flight, passenger numbers and destination are confirmed. Obtain written confirmation of the responsible provider, vehicle, meeting point, contact and delay procedure. A driver or hotel needs only the minimum information required for its task and should not receive the complete medical record.

Forty-eight hours before departure, check the flight, appointment, accommodation, payment status, communication methods and emergency contacts again, and keep paper or offline copies. If a critical item still says pending, contact its responsible provider. Mark changeable travel items separately from the clinical plan so each can be updated without confusion.
