A quotation validity period shows when and under which conditions a provider is willing to keep the stated items and prices. Hospital capacity, medicines, materials, exchange rates, hotel inventory and transport can change. An expired quotation is not automatically current and should not be reused by simply changing its date.

Distinguish a quotation, an estimate and payment confirmation. A quotation identifies the provider, currency, items and validity. An estimate allows some amounts to change after examination or actual use. A payment receipt proves that money moved; it does not by itself prove that every service has been successfully booked. Obtain separate confirmation of important statuses.

Cancellation terms depend on timing and work already performed. A hospital may have its own rules for appointments or deposits. Completed record and coordination work may not be fully refundable. Flights, hotels and vehicles follow the terms of their own providers. One provider's rule cannot be assumed to cover another provider's charges.

Refund information should state where to apply, which documents are needed, whether money returns to the original method, bank deductions and expected processing time. An international refund may take longer than a domestic one. If completed costs are deducted, the calculation should be understandable rather than presented only as a final amount.

Before accepting, mark every item described as pending, charged as incurred or non-refundable, and consider the maximum amount you could bear. If the condition, date or scope changes, request a new version and compare it with the old one. Keep the quotation, confirmation, payment and refund records instead of relying on scattered chat messages.
